The Team
A&M Tax Law is looking to hire an Executive Administrative Assistant in Toronto that will support the practice professionals.
How you will contribute
Responsibilities
- Prepare, review, format, and organize correspondence, meeting materials, presentations, memorandums and documents
- Track deliverables and follow up with partners and stakeholders to ensure work is completed accurately, on time, and in an organized manner
- Support practice management and administrative organization, including file management, document tracking, and workflow coordination
- Assist in creating structure in a dynamic environment by creating documentation, improving processes, keeping matters on track, and ensuring nothing falls through the cracks
- Coordinate meetings, agendas, logistics, and follow-up actions, ensuring accountability and execution
- Anticipate needs, identify gaps, and resolve issues independently and in conjunction with other team members
- Maintain a high level of professionalism, discretion, and sound judgment in handling confidential and sensitive matters
- Proactively manage multiple Outlook calendars for leaders with tight schedules across global timelines. Negotiate time on calendars and reschedule appointments around scheduling conflicts, shifting priorities and critical deadlines
- Arrange periodic domestic and international travel, as well as review and process monthly expense submissions for multiple team members through SAP Concur
- Coordinate team meetings and events as necessary
- Work alongside other administrative and operational staff to represent the department and interact with internal and external business partners at all levels across the organization.
- Cooperate with other internal staff in A&M Canada Tax to ensure adequate coverage during vacations
- Will be responsible for additional duties as necessary
Qualifications
- 5+ years of professional services environment experience
- Background as an executive assistant, law clerk, paralegal, or legal assistant supporting and upward managing senior professionals
- Ability to work with others at all levels and independently while demonstrating initiative and strong ethics
- Ability to communicate clearly and concisely, including translating processes and complex matters
- Strong follow-up discipline and the confidence to hold senior stakeholders accountable in a professional manner
- Exceptional organizational and prioritization skills
- Ability to handle tight deadlines and manage competing tasks using sound business judgement combined with knowledge of organizational/departmental priorities and values to enable effective prioritization of items requiring immediate action, while ensuring non-urgent tasks do not fall off the radar
- Ability to work independently, think critically, and solve problems with low supervision, while leveraging existing documentation, training materials and inter- and intra-departmental relationships to research, develop and execute solutions at team level
- Resilience, adaptability, and a high tolerance for changing priorities and urgent requests
- Excellent verbal and written communication skills
- Excellent computer and calendaring skills, including Microsoft Office Outlook, Word, Excel and PowerPoint in a fast-paced, deadline-driven environment. Experience with SharePoint, PowerAutomate, DMS, ERP and billing softwarean asset.

The salary range is $70,000 - $85,000 annually, dependent on several variables including but not limited to education, experience, skills, and geography. In addition, A&M offers a discretionary bonus program which is based on a number of factors, including individual and firm performance. Please ask your recruiter for details.
